Minutes of the BUFLA-EC Meeting
April 30, 2008, Wednesday, 7 PM to 11 PM

There was a long discussion about the survey for the BUFLA-officers. The following decisions were made:
1. BUFLA will proceed with the BUFLA-Officers election/selection process. So, the Survey for the BUFLA officers will not be done.
2. The election process will start on May 18, 2008, and will be completed on June 22, 2008.
3. BUFLA-AC members will be approved by the BUFLA-EC by May 18, 2008. The BUFLA-BOT will be elected/Selected from BUFLA-AC by May 18, 2008
4. The 501(c)(3) application for BUFLA will be submitted to the IRS within about two weeks (by July 7, 2008) after the BUFLA officers election is completed on June 22, 2008.
5. In the BUFLA-EC meeting on July 13, 2008, all 21 Action committees and related responsibilities of BUFLA will be assigned to various BUFLA member organizations.
6. The 29 Sponsor and Participating organizations of BUFLA in 2008 can participate in this election process. However, any of the 29 organizations who participated in the Bangladesh Day-2008, but did not pay the registration fee yet, should pay the $200 registration fee by May 18, in order to be able to participate in this election process. Any other organizations who did not participate in the Bangladesh day-2008 can also participate in this election process by paying the $200 registration fee by May 18, 2008 (subject to approval by the BUFLA membership review committee).
7. Everything will be in place for BUFLA by July 13, 2008, including the AC, the BOT, the Election Commission, the BUFLA-EC, the BUFLA EC-officers, all 21 Action committees assigned to various organizations, and 501(c)(3) application in place . At this point, all major activities and key activities will then immediately start on July 13, 2008, including the fund raising, the Parade brain storming for creative ideas for improvements and enlargements of the Parade, the Dignitaries list and invitations, the Souvenir improvement ideas, superior cultural program, Kids competition and Youths talent show, and all other related activities, in order to display a SPECTACULAR show of ONE-OF-A-KIND-2009 in Los Angeles.
The election process for the BUFLA officers will be as follows:
The BUFLA Advisory Council (AC) members will be invited to the BUFLA Appreciation dinner meeting on May 18, 2008. The BUFLA Board of Trustees (BOT) will be elected/selected from the AC members by May 18, 2008. The BOT will start the election/selection process for the EC-Officers on May 18, 2008. The Election commission (BOT) will complete the election of EC-Officers on June 22, 2008 at the BUFLA EC meeting.
The details of the election process is as follows:
1. The election will be by secret ballot process by postal mail.
2. The ballot papers will have only the 5 officer positions printed on it.
3. The organizational representatives will write the names of 5 people for those 5 specific positions, who can best serve those positions in their judgements. One name to be written per position.
4. The suggested names need to be from the BUFLA member organizations.
5. Same name can be suggested for more than one position. Also, more than one person can be suggested from any one qualifying organization. However, the 5 elected EC-Officers will be from 5 different organizations.
6. One organization one vote. That means, one organization can have only one representative person to vote on its behalf.
7. One person one vote. That means, any one person can cast vote on behalf of one organization only.
8. The ballot papers will be sent by postal mail to the Organizational representatives by May 30, 2008.
9. The ballot papers will need to be sent back by postal mail to the Election commission by the organizational representatives by the postmark date of June 10, 2008.
10. The election commission will declare the election results on June 22, 2008 at the BUFLA-EC meeting.
This April 30 meeting adjourned at about 11 PM.
